Terms of Service
The terms on which Bottle Flow is provided, including subscriptions, cancellation and what happens to your data.
1. The service
Bottle Flow is a subscription software service for managing a packaged-water bottling business (inventory, purchases, sales, production, payments and team access). It is provided as a record-keeping tool. It is not accounting, tax or legal advice.
2. Accounts
You sign in with your phone number. You are responsible for the security of your device and for the actions of the team members you invite. Roles (Owner, Manager and Gate) control what members can do; assigning a role is your authorisation of those actions.
3. Your data
Business records you enter belong to you. You grant us the rights needed to host, process and back them up in order to operate the service. We isolate every organisation’s data; see the Privacy Policy.
4. Subscriptions
Access requires an active trial or paid subscription. New organisations receive a free trial, currently 14 days, and no payment method is required for it.
If you do not subscribe when the trial ends, the app stops accepting new business records. Everything you entered remains readable and nothing is deleted.
Paid subscriptions are billed through our payment provider on a recurring basis. Payment confirmation comes from the provider; the app reflects it once confirmed.
After a failed renewal we retain your access for a grace period and show billing warnings in the app. If payment is not resolved, access becomes read-only until it is.
Plan changes take effect per the provider’s subscription cycle. Plan limits (team size, product count, number of units) are enforced by the service.

5. Cancellation and refunds
Owners can cancel in the app at any time. Access continues to the end of the period you have already paid for, or to trial end for trials, and subsequent renewals are not charged. Cancellation is not deletion; your records remain readable and are retained per the Privacy Policy.
Refunds for the current period: To be completed: policy decision required: the product currently implements cancel-at-period-end with no automatic refunds
Duplicate or erroneous charges are refunded in full. Contact support with the payment reference and we reconcile against the payment provider’s records.
Service-fault refunds: To be completed: policy for extended outages, per legal review
Refunds are paid via the original payment method through the payment provider, within its standard settlement timelines.
6. Acceptable use
No attempts to access other organisations’ data, to probe or overload the service, or to use it for unlawful purposes. We may suspend accounts that do.
7. Availability
We target high availability but do not guarantee uninterrupted service. Maintenance windows may be announced in the app.
8. Liability

9. Termination
You may stop using the service and request account deletion at any time, from More → Help in the app. We may terminate for material breach, with notice.
10. Changes
We may update these terms. Material changes will be announced in the app with reasonable notice.
